What does it mean to be a team member
When developing a business continuity plan, there are typically teams created with specific responsibilities regarding the recovery of the business. These teams have information needs that are unique to these responsibilities and they need to be able to access their information quickly and easily. This is why team assignments are very important in Shield. This article will provide an overview of what team membership means within Shield.
My Plan:
Permission to access information within a team
When an individual is assigned to a team and granted access to Shield, upon login, they will be able to access all information that is contained within the team to which they’ve been assigned. When new sections or reports are created within a team, these are immediately visible to a team member.
Permission to access what is outside a team
In addition to accessing information within a team, a team member with access to Shield can also view content that is created within the Team Response Module of Shield but outside of any particular team. This might include a report of contact information for the Business Continuity Management Team, location information for alternate worksites, or other information that ALL response team members need access to.
Supporting Documents:
Permission to access document folders for a team
When an individual is assigned to a team and granted access to Shield, upon login, they can go to Supporting Documents and will have access to the documents that have been uploaded within the team folders for any teams that they are a member of.
Permission to access Public document folders
In addition to accessing the document folder for the teams that they are a member of, a team member will also have access to the Public documents folder where documents that need to be accessible to any response team member are stored.
Shield Communications:
Permission to read announcements
When a team member is on the launch page or home screen of Shield, they will be able to view any announcements on the right side of the screen that have been written specifically for their team or for all Shield users. If they have a particular role on a team such as Team Leader or Alternate Team Leader, they can also read announcements directed to those team roles.
Receive Shield Communications
When an individual is assigned to a team, they will receive any Shield Communications that are sent to their team, in addition to communications that are sent to All Personnel. If they have a particular role on a team such as Team Leader or Alternate Team Leader, they will also receive any communications directed to those roles.
When someone is added to a team, they still need to be granted access to Shield in order to receive a password to log in. However, even if they haven’t been granted access to Shield, they will still receive Shield Communications. So, you can create Teams in Shield that act as distribution lists for Shield Communications without having to grant access to those people that are on those distribution list teams.
